Custom Properties for Rooms and Assets

Custom properties are user‑defined information fields that can be applied to rooms or assets.

Both rooms and assets have several default properties such as a room's location or the model of an asset. These properties are fixed and cannot be removed from their respective object type. Custom properties, on the other hand, are flexible: they can be added or removed from their respective object type as needed. Once a custom property is defined, it is added to the object page and can be filled with other properties when a room or asset is added or edited. You can:

Add a Room or Asset Custom Property

1. Access either Room Custom Properties or Asset Custom Properties by selecting the Objects tab in the room tree.



2. Select Add in the toolbar.
3. Enter a name for the custom property and the type of information field it will represent (Boolean, Integer, String, Date/Time, and so forth).
4. Select Save & Close.

Edit a Room or Asset Custom Property

1. Access either Room Custom Properties or Asset Custom Properties by selecting the Objects tab in the room tree.
2. Select the custom property and then select Edit in the toolbar. You can also edit an object by selecting it from the list.
3. Change the parameters you want to edit.
4. Select Save & Close when finished.

Delete a Room or Asset Custom Property

1. Access either Room Custom Properties or Asset Custom Properties by selecting the Objects tab in the room tree.
2. Select one or more custom properties in the list and then select Delete in the toolbar. Select Save & Close when finished.

Apply Custom Properties to Rooms or Assets

Once you have created custom properties, you can apply them when creating or editing rooms or assets.

Use Custom Properties as Part of a Search

Room custom properties are very helpful when searching for rooms for meetings. They are used as additional search criteria and can help locate the rooms or room equipment that would be required for your meeting.

1. When creating a new meeting, select Search in the new meeting window.
2. Follow the instructions in the search wizard. Your organization’s room custom properties will be listed in the Room Criteria frame of the Resources tab.
3. You can select any of the room custom properties you have created as part of the search and specify a threshold value for the criteria. For example, if you have a room custom property called "Room Capacity" that is an Integer value, you can set a threshold for the search such as "Room Capacity less than or equal to 30". Adding this criteria will limit the search results to rooms with a capacity no greater than 30 people.
4. Select the criteria you want to add to the search and specify a threshold for each criteria selected.
5. Select Apply to add the criteria to the search.
