Add Meeting

Before scheduling a meeting for a room, be sure that you have selected the correct time zone for the room.

Select Add Meeting to add a meeting or event to your calendar.

Add Meeting controls

You will be prompted for the type of meeting (Preset or Action) or Event you wish to create. If your organization has set a default meeting type, you will only be prompted to select whether you want to create a meeting or event without a meeting type option.

Properties of the meeting or event are shown in the following tabs: Meeting Details, Actions, Presets, Rooms, People, Recurrence, Capture, and iTunes.

NOTE: The iTunes tab only appears when the iTunes U® software profile is selected in the Profile drop-down menu on the Capture tab.

If a room does not have a valid Calendar (Lotus Domino, MS Exchange: WebDAV, MS Exchange: EWS, R25 or Fusion EM) the Add Meeting button will not be available.

You can:

Add a Preset Meeting

  1. Select Add Meeting. The Add Meeting/Event window opens with the Pick the Type of Meeting pop-up window in front of it displaying selections for Preset, Action, and Event.
  2. Select Preset.
  3. Fill out the fields within the Meeting Details, Presets, Rooms, People, Recurrence, Capture, and iTunes tabs.
  4. Select Save & Close to commit your changes.

Add an Action Meeting

  1. Select Add Meeting. The Add Meeting/Event window opens with the Pick the Type of Meeting pop-up window in front of it displaying selections for Preset, Action, and Event.
  2. Select Action.
  3. Fill out the fields within the Meeting Details, Actions, Rooms, People, Recurrence, Capture, and iTunes tabs.
  4. Select Save & Close to commit your changes.

Add an Event

  1. Select Add Meeting. The Add Meeting/Event window opens with the Pick the Type of Meeting pop-up window in front of it displaying selections for Preset, Action, and Event.
  2. Select Event.
  3. Fill out the fields within the Meeting Details, Actions, Rooms, Recurrence, Capture, and iTunes tabs to define your event. An event is a scheduled time at which an automated function should occur in the room. The action(s) in the event specify what that function is.
  4. Select Save & Close to commit your changes.
